This article provides some quick guides for actions you may be used to doing in Commonplace, and how to do them in Zencity.

What are the different admin user types?
Admin roles in Zencity function slightly differently to those in Commonplace.
Rather than granting different roles to users based on their responsibilities (e.g. admin, surveyor, data analyst, etc.), permissions are managed on two levels.
The first is a platform-wide permission, which features two types of user - Client Admin and Client Staff.
Client Admins are super admins, similar to Lead Admins in Commonplace. They can:
- See and edit all surveys, content pages, collaborative activities, etc.
- Invite new users.
- Organise users into teams.
Client Staff is the standard internal user level. The content they can access is dependent on the permissions they have been granted for that specific piece of content - read on for more information.

Granular permissions
Access to specific surveys or content pages can be granted either to specific users or to teams.
- Owners have full permissions including editing content, publishing and managing access. Usually this is the person who created the survey/content page, but for migrated surveys/content pages the Lead Admins from Commonplace have also been assigned as Owners.
- Editors can edit content/questions.
- Contributors can edit content/questions, but aren't able to publish.
- Viewers can view content/questions in the editor, but aren't able to add content or make any edits.
Role mapping
We have migrated all admin users to give them permissions that match their Commonplace permissions as closely as possible. This table shows the Commonplace user roles and the closest Zencity equivalents.

Teams
Users can be organised into teams. This can be useful if you want to give multiple users access to a specific survey or content page, without having to invite them individually.
How do I invite a new team member?
To invite a new team member, click the 'Settings' menu in the bottom left hand corner and then choose 'Users & Access Management'. Please note, you must be a Client Admin to be able to invite new users.
The person you invite will receive an email with a link to set a new password and log in to the Zencity platform.
How do I invite someone to access/edit a specific survey or content page?
To invite someone to a specific survey or content page, visit the pages with the lists of surveys or content pages. Then click the three-dot menu next to the survey/content page and select 'Manage Access'.
Please note, you must be an Owner of the content or a Client Admin to be able to invite new users.
This will open the 'Manage Access' tab. From here, you can select a person to invite from the 'Custom Access' dropdown. You can then select their access level (Viewer, Contributor or Editor).
Important Note
After editing access, be sure to click the 'Save Changes' button.
How do I share a survey preview with someone outside my organisation?
Follow the steps above to preview the survey. Then click the ‘Share Preview’ button - this generates a shareable preview link. The preview link can be accessed by external users, even if they don’t have a Zencity account.
The link will remain valid for seven days, and no data will be collected when the survey is completed in preview mode.
