Content pages and DIY surveys use a role-based access system so teams can control who can make changes versus who can only view. Understanding how platform-level and item-level access work together makes it easier to grant the right level of access to the right people.
General access settings
Before per-user roles come into play, content pages and surveys have a General access setting:
- Organization — anyone in the organization can access it.
- Restricted — only the Owner and users explicitly added under Custom Access. The content page or survey disappears from everyone else's listing screen, and the shareable link enforces the same rule.
Removals and additions take effect immediately. Only users already in the organization can be added under Custom Access — there's no cap on how many, but a user outside the organization won't appear as an option to add.
Two levels of access

If you are a Zencity SuperAdmin you will see and be able to edit all surveys, content pages, and collaborative activities across your organization. You also have the ability to invite users and set permissions in the Manage Access tab. All other Zencity Users in your organization will only be able to access to a specific content page or survey based on the item-level access they've been granted via the Manage Access tab (from the item itself or the three-dot menu on the listing screen). This is where the Owner, Editor, Contributor, and Viewer roles apply. |
The four roles

Owner is the only role with these three capabilities:
- Exclusive access to the Manage Access tab
- Adding and removing other users
- The only role that can remove itself from access
The Custom Access dropdown offers Viewer, Contributor, and Editor only. Owner is not an assignable option there.
