Configure essential parameters for your engagement activities including scheduling, access controls, sharing options, and participant experience settings. Settings must be configured before publishing and determine how community members can access and interact with your engagement.

Required before publishing: Open and close dates must be set.

Setting Activity Schedule

To control when your engagement is available:

  1. In the Dates section, set your Opens date and time (required)
  2. Set your Closes date and time (required)
  3. Use the date picker and time dropdown for each field

The system will display a warning banner "Set Dates & Times Before Publishing" until both dates are configured. Your engagement cannot be published without setting both open and close dates.

Configuring Access Controls

To manage who can participate:

Requires Code - Enable this toggle to restrict access to participants with a specific code. When enabled, access codes are automatically generated by the system and attached to the links you distribute to participants via the invite option in the sharing centre. 

Publicly Visible - Enable this toggle to make your engagement discoverable to community members beyond those you directly invite.

Note: Requires Code and Publicly Visible cannot both be enabled simultaneously.

Enabling Social Features

Social Sharing - Enable this toggle to allow participants to share your engagement on social platforms. Supported platforms include:

  • Facebook
  • X (formerly Twitter)
  • LinkedIn
  • Nextdoor
  • Email

Kiosk Mode - Enable this toggle when you want the same device to be used by multiple participants. This is useful for public locations like community centers or libraries where you want to minimize access barriers.

When Kiosk Mode is enabled, your engagement can be completed multiple times from a single browser. The system automatically adds a Restart button to the final page, allowing the next participant to begin immediately after the previous person completes the activity.

This setting is particularly valuable for:

  • Public engagement stations
  • Community events
  • Locations with shared devices
  • Maximizing participation opportunities

Setting Post-Completion Experience

To control where participants go after completing your engagement:

In the End Page and Exit Redirect section, choose:

  • Project Hub (default) - Participants return to your project's main page
  • Different Destination - Participants are redirected to a custom URL you specify

When selecting Different Destination, enter a valid URL in the Enter URL field. Invalid URLs will display an error message.

Archiving Activities

To permanently disable an engagement:

  1. Scroll to the bottom of the Settings page
  2. Click Archive
  3. Confirm the action when prompted

Important: When archived, the activity can no longer be accessed by participants. You will still be able to view any reports that were created. This action cannot be undone.

Understanding the Details

Before Publishing:

  • Open and close dates are required
  • All other settings are optional and can be configured based on your needs
  • Settings can be modified multiple times before publishing

After Publishing:

  • Settings can be changed once your engagement is published. But it will require a republish for them to take affect
  • Existing participant responses are preserved regardless of any settings that were configured

Access codes are automatically generated by the system when the Requires Code setting is enabled. The codes are attached to the links you distribute to participants via the invite option in the sharing centre - you don't need to manage or distribute codes separately.

This ensures secure access while simplifying the administration process.

Important Notes

Date Requirements: Your engagement cannot be published without setting both open and close dates. The system enforces this requirement and will display validation errors if dates are missing.

Response Preservation: Participant responses are always preserved, even if settings change during the draft phase or if the engagement is later archived.
