Access and organize all your engagement questionnaires and activities from the Activities listing screen. This central hub provides filtering and search capabilities to help you quickly find, manage, and track the status of your community engagement initiatives across different projects and categories.

Quick Steps

  1. Navigate to Ask > Surveys > Build select your survey

Accessing the Activities Screen

Navigate to Activities From the main Zencity navigation menu, click on "Engage" to expand the engagement section, then select "Activities." This will display the Activities listing screen showing all engagement questionnaires and activities across your organization.

Understanding the Activity List The Activities screen displays your engagement initiatives in a table format with the following information:

  • Title: The name of the activity and its associated project or description
  • Activity: The type of engagement (Engagement questionnaire or Live Engagement)
  • Status: Current state of the activity (Unpublished, Offline, Upcoming, Open, Closed)
  • Opens/Closes: Scheduled dates for when the activity becomes available and when it ends

Using Filter Options

Category Filter Filter activities by their assigned category names. Categories help organize activities by topic, department, or initiative type. Click the Category dropdown to see all available categories and select the ones you want to view.

Project Filter Filter activities by project name to see all engagement initiatives associated with specific municipal projects. This is useful for tracking all activities related to a particular development, policy initiative, or community program.

Activity Filter Filter by activity type to focus on specific engagement formats:

  • Engagement: Traditional engagement questionnaires with structured questions and responses
  • Live Engagement: Real-time engagement activities and interactive sessions

Status Filter Filter activities by their current status to manage your engagement pipeline:

  • Unpublished: Activities that are created but not yet made available to the public
  • Offline: Activities that are temporarily taken offline or paused
  • Upcoming: Activities scheduled to open in the future
  • Open: Currently active activities accepting responses from residents
  • Closed: Completed activities that are no longer accepting responses

Search and Organization

Search Functionality Use the search box to quickly find specific activities by typing part of the activity title. The search function helps you locate activities across large lists without manually browsing through all entries.

Activity Count Display The screen shows the total number of activities (e.g., "Activities 50") to help you understand the scope of your engagement initiatives.

Sorting Options Activities can be sorted by various columns including status, which helps prioritize your work based on activity lifecycle stage.

Managing Activities

Creating New Activities Click the "Create New Activity" button to start building new engagement questionnaires or live engagement sessions. This launches the activity creation workflow.

Editing Existing Activities Click on any activity title to open it for editing. This takes you to the Questionnaire Builder or appropriate editing interface based on the activity type.

Activity Actions Use the action menu (⋮) on each activity row to access additional options like duplication, archiving, or detailed settings management.

Activity Lifecycle Management

Planning Phase Use the Unpublished status to prepare activities before making them available to residents. This allows for content review, testing, and stakeholder approval.

Scheduling Set activities to Upcoming status with specific open and close dates to automate the availability of engagement opportunities.

Active Engagement Monitor Open activities to track participation and manage ongoing engagement initiatives.

Analysis and Follow-up Review Closed activities to analyze results, generate reports, and plan follow-up engagement activities.

Best Practices

Use Consistent Naming Develop clear naming conventions for activities that include project names, dates, or other identifying information to make activities easier to find and organize.

Leverage Categories and Projects Assign activities to appropriate categories and projects to enable effective filtering and organization across your engagement portfolio.

Regular Status Review Periodically review activity statuses to ensure upcoming activities are ready to launch and closed activities have been properly analyzed.

Filter Combinations Combine multiple filters to create focused views, such as viewing only Open activities within a specific project or category.

Search Tips Use partial title searches when you remember only part of an activity name, or search by project names that appear in activity descriptions.

Edge Cases and Considerations

Filter Interactions

  • Multiple filters work together to narrow results progressively
  • Clearing filters returns to the full activity list view
  • Some filter combinations may result in no activities being displayed

Activity Status Changes

  • Activities automatically transition from Upcoming to Open based on scheduled dates
