Live Engagement Best Practices

There are a number of best practices that should be taken into account when running a live engagement to ensure a seamless process for community members. 

  1. Event Promotion
    You can promote your event on your project page. All live engagement activity cards will show up on the project page without the participate button. Use the teaser field to add important information like date, time, venue etc so that community members know when they can join a session. 

  2. WiFi or Internet Connectivity
    Ensure your venue offers reliable WiFi or good signal strength. If the event has WiFi we suggest adding the join details to the introduction page of your live engagement. Where possible have the wifi join details on posters around the room to allow community members to easily logon to the network. 

  3. QR Code
    If you are running a large event in a large venue we suggest printing out the QR code for the Live Engagement displayed throughout the room. This will allow community members to easily access the Live Engagement when they are sat further away from the presentation screen. You can download the QR code in the share centre of the Live Engagement prior to your event. 

  4. Join Details Pop Up
     You can display the large Join Details Pop Up (QR code and join URL) at any time during your presentation. We suggest displaying the Pop Up with the join details prior to the event starting so that community members can easily join the Live Engagement. 

  5. Technology Placement
    Ensure that participants have a clear view of the presentation screen. Some elements like the timer and join details popup are only displayed on the presentation screen.
