At a Glance

The Surveys homepage is your central location for accessing, managing, and viewing results for all surveys in your Zencity account. Access it by navigating to Ask > Surveys. From here, you can view survey status, open results, and manage your survey list. DIY users can also create new surveys directly from this page.

Recently Closed Surveys

If you have DIY surveys (Engagement or Live Engagement) that closed within the last 14 days, they appear in a card section at the top of the page labeled Recently Closed (last 14 days). This section provides quick access to results for your most recently completed surveys.

Each card displays:

  • Survey type badge (Engagement or Live Engagement)
  • Survey title
  • Project name (or "No project assigned" if none)
  • Number of responses
  • Relative close date (for example, "Closed 5 days ago")

Select any card to open the survey results. The most recently closed survey sorts cards. If you have many recently closed surveys, scroll horizontally to see additional cards.

This section is hidden when no eligible surveys exist. It also respects the Organization filter, so only surveys from the selected organization appear.

Finding and Viewing Surveys

The Surveys homepage displays all your surveys in a table with the following columns:

Survey titleThe survey name is displayed as a title and byline. For Zencity Managed surveys, the title is the resident-facing survey title, and the byline is the internal survey name. For DIY surveys, the title is the resident-facing survey title, and the byline is the project name (when applicable).
StatusThe current state of the survey: Draft, Upcoming, Open, Closed, Offline, or Archived.
Survey TypeIndicates how the survey is distributed and managed.
ResponsesThe number of valid responses collected.
DateA contextual date based on the survey's status (for example, launch date for open surveys, close date for closed surveys).
ActionsPrimary actions available for the survey.

Searching for a Survey

Use the search bar at the top of the table to find surveys by title. The search matches partial text, so entering a few characters will filter the list to matching surveys.

Filtering Surveys

Use the filter bar to narrow your survey list:

  • Organization: Filter by organization (appears when your account includes multiple organizations).
  • Status: Filter by one or more statuses (Draft, Upcoming, Open, Closed, Offline, Archived).
  • Survey Type: Filter by survey distribution type.
  • Category: Filter by thematic or departmental category (DIY surveys only).
  • Project: Filter by associated project (DIY surveys only).

To reset all filters, select Reset Filters.

Note: Archived surveys do not appear in the default view. To see archived surveys, select "Archived" in the Status filter.

Survey Types

Depending on your account configuration, you may see the following survey types:

  • Zencity Managed: Representative surveys distributed by Zencity, including Community Surveys, Blockwise, and Pulses.
  • Triggered: Post-interaction surveys are sent automatically after service completion.
  • Engagement (DIY): Surveys embedded in a public engagement project.
  • Live Engagement (DIY): Real-time surveys used during events or meetings.

Viewing Survey Results

To view results for a published survey, locate the survey in the table and select View Results in the Actions column. This opens the survey dashboard, where you can explore response data and analysis.

For surveys in Draft status (DIY only), the primary action is Edit, which opens the questionnaire builder.

Creating a New Survey

If you have DIY survey access, select Create New Survey at the top of the page. This opens the questionnaire builder, where you can design your survey.

To work with survey templates, select Manage Templates to open the templates page.

Pinning Surveys

Pin frequently accessed surveys to keep them at the top of your list:

  1. Locate the survey you want to pin.
  2. Select the star icon at the start of the row.

Pinned surveys appear at the top of the table in the order they were pinned. You can pin up to 10 surveys. To unpin a survey, select the pin icon again.

Additional Actions

Select the More Actions menu (three dots) at the end of any row to access additional options. Available actions depend on the survey type and status:

For DIY surveys:

  • Preview
  • View Results
  • Make a Copy
  • Archive (or Unarchive for archived surveys)
  • Duplicate as a Template
  • Manage Access

For Zencity Managed surveys:

  • Preview
  • View Results (for published surveys)
  • Collaborate (for draft or upcoming surveys)

Archiving and Unarchiving Surveys

To archive a survey, open the More Actions menu and select Archive. Archiving removes the survey from the default view but retains it in the system. For active surveys, archiving also ends data collection.

To view archived surveys, filter by "Archived" in the Status filter. To restore an archived survey, open its More Actions menu and select Unarchive. The survey returns to its previous status.

Understanding Survey Status

StatusDescription
DraftA newly created survey that has not been published. Not visible to respondents.
UpcomingA published survey scheduled to start at a future date (DIY only).
OpenA published survey able to collect responses.
ClosedA survey whose collection period has ended. Results remain available for analysis.
OfflineA published survey was taken offline and no longer collects responses.
ArchivedA closed survey removed from the default view but retained for reference.
